How do I share a file?

Share a file from the File manager by inviting people, choosing its general access, and copying its link.

These steps are for the web app.

Open the Share window

In the File manager, open the file's menu and choose Share. In a team workspace, only the person who created the file sees Share.

Invite people

Type names or email addresses in Add people (in a personal workspace, the field is Add people by email). In a team workspace, also choose a role. Then select Invite.

  • Members of the workspace get the role you choose: Editor can rename, move and save new versions; Viewer can open and download.
  • Anyone else is added as a Guest. Guests can only view. Send them their link: open their menu in People with access and choose Copy their link. They open it after signing in or entering a code we email them.

Everyone who can open the file is listed under People with access, with the owner first. Use a person's menu to change their role or remove their access.

General access

Under General access, choose who else can open the file:

  • Only you (or Only people invited once you have invited someone): nobody else.
  • Anyone at followed by your workspace's name, such as Anyone at Acme: every member, as Editor or Viewer.
  • Anyone with the link: anyone on the internet who has the link can view the file, including future versions. If your workspace's sharing settings don't allow it, the option is greyed out and says why.

In a personal workspace, the choices are Only you and Anyone with the link.

Select Copy link. When general access is Anyone with the link, this copies the link anyone can open. Otherwise it copies a link that opens only for people who already have access.

To share the file as it is now, open the arrow next to Copy link and choose Copy a snapshot link. A snapshot link always shows this version; later changes aren't shown. Snapshot links are listed under Snapshot links (or Other links, when other kinds of links are listed too), where you can click Revoke to stop them.

Who can share a team file

In a team workspace, only the person who created a file can change who can open it or create its links. This applies to team admins and the owner too. Editors can save new versions of a file they can edit, but they cannot change its sharing.

For how to change a file itself, see Rename, move or delete a file.
